What does the certified translation look like?

One electronic PDF: the cover page contains the translator's declaration and verification code; scanning the code verifies the authenticity of this certified translation. The original document you photographed is attached at the end, allowing the receiving party to compare items point by point. Each section on the page corresponds to the decorative border of the original, with column positions matching the original.

Common issues when translating a hukou booklet

The English text already present on the original is for reference only.

Some versions have printed English field names or instructions. I still translate from the Chinese, using wording appropriate for an Australian audience.

Handwritten place names are translated according to which administrative level they precede.

If '渠' appears before '县(区)', it refers to Qu County, not a city named Qu.

Parents' details are translated item by item.

Parents' names, nationality, ethnicity, and ID numbers are all on the original document; no detail is omitted.

Reference numbers and stamps retain their original colours.

Birth certificate reference numbers are often red. The issuing authority's stamp includes the full name within the seal.

FAQ

Birth certificate or notarial certificate of birth, which one should I translate?
Both are commonly used. A birth certificate is the original document issued by the hospital, while a notarial certificate of birth is issued by a notary office; both can be translated. Please check with the receiving authority which one they require before submitting.
How should names on the translation be written?
Names are transliterated into Hanyu Pinyin based on the Chinese on your identity document. You'll be asked to confirm the spelling before payment — matching your passport will save you a lot of explaining.
Older birth certificates have English instructions printed on both sides. Do these still need translating?
Yes. The English text on the original is for reference only. I translate the Chinese sections into formal English for inclusion in the certified translation.
Can handwritten content on the birth certificate be translated?
Yes. Handwritten content is translated as written. Any illegible parts are noted accurately.
What if the child later changed their name, but the birth certificate still shows the old name?
The certified translation reflects the old name as shown on the original. Records of name changes are usually found in the household register (hukou), which can also be translated and submitted together.
Can a reissued Birth Medical Certificate be translated?
Yes. Reissued documents are translated normally, including any notation on the original indicating it is a reissue.
Do I need to post the original document?
No. Simply take clear photos with your mobile phone and upload them. Keep the original document.
Which Australian official agencies can the certified translations be submitted to?
Certified translations bearing the stamp and signature of a NAATI certified translator can be submitted to the Australian Department of Home Affairs (Immigration), state transport departments (for licence conversion), courts, notaries, universities and professional assessing bodies. Please check with the receiving agency if they have any specific additional requirements.
How long does it take to get the certified translation?
This depends on the turnaround time selected when placing your order. Once paid, the certified translation will be issued within your chosen timeframe. You will receive an email and collection link once it is ready.
Can the electronic PDF version be submitted directly?
Yes. Most Australian agencies accept electronic PDF certified translations, such as online submissions to the Department of Home Affairs. If an agency requires a hard copy, a colour printout will suffice. We recommend confirming the receiving agency's requirements before submission.
How can the receiving agency verify the authenticity of the certified translation?
Every certified translation is printed with a unique trace code and digital fingerprint. The receiving agency can enter the trace code or upload the PDF on an independent verification platform to check whether the certified translation matches the originally issued version.
